How to read the Daily Import Report

You will interpret store-by-store import counts and Last Imported At on the Daily Import Report so you can spot missing or stale data before it affects campaigns and service follow-up.

Before you start

Before you read the Daily Import Report:

  • Open the report from Reports → Daily Import Report (under General Reports or Account Specific Reports, not Legacy Reports)

  • Set the date range in the report to match the period you are reviewing

What this report shows

The Daily Import Report shows how much key data Volie received for each organization (store) during your selected date range, plus how recently each store last received data. Use it to confirm overnight imports landed and to compare stores in a multi-rooftop group.

Appointments received from your DMS during the selected period

Use for integration health — excludes agent-created appointments in Communication Center

Last Imported At

How long ago data was last received for that organization, shown in relative time (for example, 52 mins ago or 38 hours ago)

Compare across stores; an unusually old value with low counts suggests a stalled feed

How to read it

Use these steps to read the Daily Import Report:

  1. Set the date range to the period you care about (for example yesterday through today for a morning check).

  2. Start with Last Imported At on every row. A store that is hours or days behind peer stores deserves a closer look.

  3. Review Customers, Sales, Closed ROs, Open ROs, Web Leads, and DMS Appointments for zeros or sharp drops versus what you normally see for that store.

  4. When one store shows repeated zeros or an old Last Imported At while neighbors look healthy, treat it as a likely import interruption and escalate before campaigns under-enroll or service follow-up falls behind.

  5. When appointment volume looks wrong, read DMS Appointments separately from agent scheduling activity in Communication Center.

Limitations

The Daily Import Report has these verified limits:

  • Legacy Reports → Daily Import is a different report with different columns. Prefer the newer Daily Import Report for the metrics in this article.

  • DMS Appointments excludes appointments agents create in Communication Center so the column reflects DMS feed health, not agent scheduling.

  • Reports → Glossary / Formulas does not currently include Data Import column definitions. Use this article until those terms appear in the in-app glossary.

Common questions

What does a zero in a column mean on the Daily Import Report?

A zero means Volie did not create or receive that type of record for that organization during the selected period. A zero can be normal on a quiet day, but repeated zeros — or zeros paired with an old Last Imported At — usually deserve investigation.

Why do DMS Appointments not match appointments agents set in Communication Center?

DMS Appointments counts appointments received from your DMS only. Agent-created appointments in Communication Center are excluded by design so the column reflects integration health.

Where do the numbers on the Daily Import Report come from?

The counts come from data Volie received and created for each organization during the selected period across the sources feeding that account. The exact source mix can vary by store.

Can I export the Daily Import Report?

Export controls, if enabled for your account, appear inside the open report view. Check the live report or ask your Customer Success Manager if export is available for your account.
